Cultural differences can present real challenges to UK companies doing business in China. Building a strong relationship with Chinese organisations will often involve playing host to visiting business partners, clients and “goodwill missions”. Getting this right will be key to sending the right message.
In Chinese culture, hospitality is king. Hosts will bend over backwards to make sure their guests are well looked after, and the business world is no exception.
This could involve anything from finding suitable hotels, to arranging Chinese speaking guides to accompany them.
Here are some of our golden rules for making the best impression on your Chinese delegation.
Roll Out the Red Carpet
The most important goal is to make them feel well taken care of. Greet them at the airport with a private vehicle and assign someone from your company to chaperone the group during their stay. This person is there to look after them and to demonstrate that your company is pulling out all the stops to keep them happy.
You may find that plans can and will be changed last minute. Be aware of this and avoid arranging much that can’t be altered at short notice. Successful hosts are very adaptable.
Understand the Hierarchy
Chinese companies tend to be very hierarchical. Delegations from China will usually include a senior member who is shown reverence by the rest of the group. Make sure you arrange for a senior member of your own organisation to greet them early on, at least at the same level as they are.
Get Mealtimes Right
If you visit China, the chances are that your host will make certain you are incredibly well fed. Meals are an important part of the trip and arranging them needs a lot of thought.
In general, most Asian cuisine will be well received, but do your research beforehand and find the most authentic places. The chance to sample the local cuisine is appreciated but bear in mind that they may not be used to western food, so don’t arrange it too often.
If you have the budget, arrange a luxury dining experience, perhaps with a unique element to it. We have seen companies take delegations to a restaurant where the meal is eaten in pitch darkness.
Show them the Sights
For some of the group this may well be their first visit to the UK. Arrange a trip to a scenic landmark or a local attraction. Chinese visitors appreciate the opportunity to learn about our history.
It’s almost certain that the group is going to want to go shopping, try to take them is you have the time. Bicester Village is a must if you are near Oxford, it is one of our most requested stops.
Give Gifts
The delegation will be bringing gifts for you, it’s important to return the favour. Choose something decorative that represents your company or local area. Avoid clocks and flowers as they are associated with funerals and be sure to bring enough for everybody.
